WhatsApp notifications are optional and use the official WhatsApp Business Platform/Meta API. The site owner must provide their own Meta Business/WhatsApp credentials and approved message templates.
Google Calendar integration is optional and uses Google OAuth 2.0 and the Google Calendar API. The site owner must create and authorize their own Google Cloud OAuth application.
External services are contacted only when the corresponding integration is enabled and configured.
External services
Appovent can connect to the third-party services listed below. They are optional and only contacted when the site owner enables and configures the matching integration. The core appointment booking features work without any of them. The API keys, tokens and accounts used for each service belong to the site owner.
Google Calendar and Google OAuth
Used to create, update, reschedule and cancel a Google Calendar event for each appointment. Appovent contacts accounts.google.com (authorization), oauth2.googleapis.com (token exchange, refresh and revoke) and www.googleapis.com (Calendar API and account email lookup).
Data sent: the OAuth client ID/secret and authorization code or tokens; when an appointment is created, updated, rescheduled or cancelled, the event title, date, time, service, staff member, customer name, phone and email, and the appointment ID. The customer email is added as an event attendee. The “Test connection” button reads the selected calendar.
Used to send WhatsApp appointment messages. Appovent contacts graph.facebook.com.
Data sent: when a notification automation is triggered (new, confirmed, cancelled, rescheduled or reminder), the recipient phone number, the approved template name and its variables (such as customer name, service, date, time and manage link), and the site owner’s access token for authentication.
Used to send SMS notifications when MSG91 is selected as the SMS provider. Appovent contacts control.msg91.com.
Data sent: each time an SMS is sent, the recipient phone number, the template or flow ID, the message variables (such as customer name, service, date and time) and the site owner’s auth key.
Used to send SMS notifications when Twilio is selected as the SMS provider. Appovent contacts api.twilio.com.
Data sent: each time an SMS is sent, the recipient phone number, the sender number and the message text, with the site owner’s Account SID and auth token for authentication.
Appovent stores appointment and customer information submitted through the booking form in the site’s WordPress database.
Depending on enabled integrations, appointment and notification information may be sent to Google Calendar, Meta/WhatsApp, MSG91, Twilio, Textlocal, and the site’s configured email provider.
Site owners are responsible for providing appropriate privacy notices, obtaining any required consent, setting data retention practices, and ensuring lawful use of third-party services.

Frequently asked questions.
How do I show the booking form on my site?
Add the shortcode [appovent_booking_form] to any page or post where customers should book appointments.
Why is the Service dropdown empty when I add a staff member?
Create your services first under Appovent > Services, then assign one service to each staff member. The assigned service appears on the public booking form.
How do I set staff availability?
Open Appovent > Staff, add or edit a staff member, and use the Weekly Availability section. You can use “Copy Monday to weekdays” or “Copy Monday to all days” to fill the schedule quickly. Times use the WordPress site timezone.
Can I block holidays or days off?
Yes. Go to Appovent > Holidays & Days Off. You can block a date for the whole business or for one staff member only.
Can customers cancel or reschedule their own appointments?
Yes. Customers receive a secure link in their notifications to cancel or reschedule. Rescheduling checks slot availability before it is saved.
Does Appovent prevent double bookings?
Yes. Time slots that are already booked are not offered to other customers.
Do I need SMS, WhatsApp or Google Calendar to use the plugin?
No. Core booking and email notifications work without them. SMS (MSG91, Twilio, Textlocal), WhatsApp Business Platform and Google Calendar are optional and need your own provider accounts and credentials.
How do I connect Google Calendar?
Create your own OAuth application in Google Cloud, enter the client ID and secret under Appovent > Settings, then authorize the connection. Use the “Test connection” button to confirm it works.
Why are my emails not being delivered?
Appovent uses the WordPress mail system. If emails go to spam or do not arrive, configure an SMTP plugin or mail provider for your site.
Can I customize the booking form design and fields?
Yes. Use the Booking Form Builder to add, remove and reorder fields, and the Layout settings to change colors, spacing, and button style.
Which placeholders can I use in notification templates?
